1. Introduction

This Privacy Policy describes how Pulse Music ("the Bot", "we", "us", "our") collects, uses, and protects your information when you use the Pulse Music Discord bot and its web dashboard. We are committed to safeguarding your privacy and handling your data transparently.

2. Information We Collect

We collect only the minimum data necessary for the Bot to function:

2.1 Data Collected Automatically

  • Discord User ID — to identify you across sessions and associate permissions, playlists, and statistics.
  • Discord Username & Display Name — for display purposes in the dashboard and bot messages.
  • Discord Server (Guild) ID — to provide per-server settings, permissions, and music playback.
  • Voice Channel ID — to join and manage voice sessions.
  • Server Role Information — to evaluate permission rules and access control.

2.2 Data Stored When You Use Features

  • Listening Statistics — track names, play counts, and listening duration (for the stats/leaderboard features).
  • Playlist Data — playlist names and track URLs you save via bot commands.
  • Permission Rules — server-specific permission configurations set by administrators.
  • Settings & Preferences — theme accent color, stay-in-channel preference, and other per-server settings.
  • Access Requests — optional request notes submitted through the dashboard.

2.3 Data We Do NOT Collect

  • Message content (we do not read or store messages beyond bot command text).
  • Email addresses, real names, or personal contact information.
  • Voice audio or recordings.
  • Direct messages (unless you DM the Bot a command).
  • Financial or payment information.

3. How We Use Your Data

Collected data is used exclusively to:

  • Provide music playback and queue management functionality.
  • Maintain user playlists and listening history/statistics.
  • Enforce access control and permission rules.
  • Display server and user information in the dashboard.
  • Improve and maintain the Bot's services.

We do not sell, rent, or share your data with third parties for marketing or advertising purposes.

4. Data Storage & Security

  • All data is stored locally on our server in SQLite databases.
  • Bot tokens stored by the multi-bot manager are encrypted at rest using AES-256-GCM.
  • Dashboard sessions are protected with secure HTTP-only cookies.
  • We do not use cloud-based analytics, third-party trackers, or advertising SDKs.
  • Access to the server and data is restricted to authorized administrators.

5. Data Retention

We retain your data for as long as the Bot is active in your server or as long as your account is associated with stored data (playlists, statistics). Specifically:

  • Server data is removed when the Bot is removed from the server (settings may be retained for a grace period in case of re-invitation).
  • User statistics & playlists are retained until you request deletion.
  • Session data (dashboard login sessions) expires automatically.

6. Your Rights

You have the right to:

  • Access — request a copy of any data we store about you.
  • Correction — request correction of inaccurate data.
  • Deletion — request deletion of your data. Contact us and we will remove your information from our databases.
  • Restriction — request that we limit how we use your data.
  • Withdraw — you can stop using the Bot and remove it from your server at any time.

7. Third-Party Services

The Bot interacts with the following third-party services:

  • Discord — for bot functionality and user authentication. Subject to Discord's Privacy Policy.
  • Lavalink — for audio streaming. No user data is shared with Lavalink nodes beyond search queries.
  • Music Platforms (YouTube Music, Spotify metadata) — for search and track resolution. Only search queries are sent; no personal data is transmitted.

We are not responsible for the privacy practices of these third-party services.

8. Children's Privacy

The Bot is not directed at children under 13 years of age (or the minimum age required in your jurisdiction). We do not knowingly collect data from children under this age. If we become aware that we have collected data from a child, we will take steps to delete it promptly.

9. Discord API Compliance

We comply with the Discord Developer Terms of Service and the Discord Developer Policy. We only access Discord API data necessary for the Bot's functionality and do not use it for purposes unrelated to the Bot's core features.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Continued use of the Bot after any changes constitutes acceptance of the updated policy. We encourage you to review this page periodically.
